How Lead Capture Works in Bitrix24 (Alaio)

Bitrix24 captures inbound leads automatically from web forms, email inboxes, telephony, and social or messenger channels, creating a structured lead card for each contact without manual data entry by the sales team.

Every project we configure starts with mapping the sources that generate inbound interest. Based on our implementation experience, a typical mid-sized B2B company connects between four and eight capture channels simultaneously. The most common combination includes:

One practical detail worth noting: when a high volume of spam arrives through a shared email inbox, a more reliable approach is to have a dedicated inbox monitor open mail inside Bitrix24 and click "Create from" only for genuine enquiries - this avoids polluting the lead funnel with noise.

The Lead Funnel: Stages and Card Fields

A standard Bitrix24 lead funnel contains up to 10 stages and up to 30 custom card fields, configured to reflect the company's actual qualification process rather than a generic template.

The lead funnel is separate from deal pipelines. Its purpose is primary triage: every inbound contact enters here first, regardless of source. Stages typically follow this pattern:

  1. New request - created automatically or manually
  2. Qualification - manager verifies contact data and intent
  3. Presentation / information sent - product or service details shared
  4. Qualified lead - confirmed as a genuine opportunity → conversion to deal
  5. Disqualified - reason recorded (wrong product, competitor, insufficient volume, no response after N attempts, etc.)

The lead card holds up to 30 fields covering contact data, company details, and request specifics. Typical fields across our projects include: lead name, linked contact/company, city or region, phone, email, customer request text, responsible manager, and source channel. All fields can be populated automatically from the connected capture channel or filled manually.

Access rules are set at the role level: each manager sees and edits only their own leads, while team leads and administrators have full visibility.


Automatic Lead Distribution to Managers

Bitrix24 distributes incoming leads to managers using sequential (round-robin) assignment robots, which can be refined by territory, product line, or the specific channel or mailbox through which the lead arrived.

This is one of the highest-impact automations in any sales setup. The three distribution patterns we implement most often:

  • Round-robin by team - leads cycle through available managers in order; no manual assignment needed
  • Territory-based routing - a web form asks the visitor to select their city or region; the lead is assigned to the manager responsible for that territory
  • Product-based routing - if the enquiry concerns a specific product category (which may differ by location), the lead goes to the specialist for that category
  • Mailbox-to-manager mapping - each email inbox is tied to a specific manager or city office; incoming mail auto-assigns accordingly

Multiple capture channels feed into Bitrix24, which then routes leads to managers and escalates overdue tasks to supervisors.

The flow covers all major entry points: website, telephony, email, and messengers each push events into Bitrix24. The CRM engine applies distribution rules and assigns the lead. If a task is not completed on time, an escalation robot notifies the supervisor automatically.

Lead Qualification and Scoring Logic

Bitrix24 does not ship a numeric lead scoring engine out of the box, but qualification is enforced structurally: leads must be closed as either "qualified" or "disqualified" with a recorded reason, preventing leads from stalling in ambiguous states.

This structural approach to scoring works as follows:

  • A lead can only exit the funnel in two ways: converted (qualified) or closed with a disqualification reason
  • Disqualification reasons are a predefined list configured per business: "wrong product", "insufficient volume", "direct competitor", "no response after 4 attempts", "price objection", "tender-only procurement", etc.
  • Robots can be set to flag leads that have spent too long at a stage without activity, triggering a review task for the manager
  • For more granular scoring, custom fields (e.g., "Decision Maker: Yes / No", "Company type", "Estimated deal size") are added to the lead card and used by managers during qualification calls

This combination - mandatory exit classification + activity-timeout alerts + key qualification fields - gives sales managers a practical scoring framework without requiring a separate scoring tool.

Converting Qualified Leads to Deals

When a lead is marked as qualified in Bitrix24, the system automatically generates linked Contact, Company, and Deal cards pre-populated with all data from the lead card - eliminating duplicate data entry at the handoff point.

This single-click conversion is one of the most operationally important features for sales teams handling volume. Key behaviours to be aware of:

  • The converted lead creates one Contact + one Company + one Deal simultaneously, all cross-linked
  • Data from lead card fields is mapped to the corresponding deal/contact fields automatically
  • If specific fields in the deal are mandatory, those cannot be enforced during auto-creation from a lead; the workaround is to require those fields in the lead card before marking it as qualified, then use an automation to carry the values across
  • The deal enters the configured deal pipeline (e.g., "New Sales", "Repeat Sales", "Tenders") at its first stage

A typical project configures multiple deal pipelines alongside the lead funnel:

Automation: Robots, Triggers and Escalation

A standard Bitrix24 lead management setup uses 5-30 robots covering stage-triggered task creation, manager notifications, escalation to supervisors on overdue tasks, and data transfer between pipelines.

Automation in the lead funnel runs on two mechanisms: robots (actions that fire when a stage is reached) and triggers (conditions that move a card to a new stage based on an event). The most commonly configured automations across our projects:

  • Stage entry → create task for responsible manager with deadline and checklist
  • Stage entry → send notification or message template to the lead's contact
  • Task overdue → create escalation task for supervisor so nothing is silently missed
  • Lead qualified → create deal in the appropriate pipeline with field mapping
  • Inactivity timeout → alert robot flags leads that have not moved in N days
  • Pipeline-to-pipeline transfer - card moves to the next pipeline with a copy retained for statistics in the source pipeline

The upper bound on robot count depends on the plan and project scope - simpler setups use around 5 robots in the lead funnel; more complex multi-pipeline projects can reach 30 or more across all funnels.

One known platform constraint: Bitrix24 does not store the full stage-traversal history in a format accessible to automation logic. This means that if a deal is moved backward through stages, robots cannot automatically undo field values that were set during forward progress. Teams that test pipeline logic extensively should account for this when designing field-clearing rules.

Reporting and Analytics on Lead Performance

Bitrix24 lets you build up to 5 custom lead reports slicing data by source channel, responsible manager, stage conversion, disqualification reason, and time period - giving team leads the visibility needed to identify where leads are dropping out.

Standard reports configured in our projects include:

  • Lead volume by source - which channel (web, phone, email, WhatsApp, marketplace) generates the most inbound contacts
  • Conversion rate by manager - how many leads each manager qualifies vs. disqualifies
  • Disqualification reason breakdown - what proportion of leads fail at each qualification criterion
  • Average time in funnel - how long leads spend at each stage before moving or closing
  • Lead-to-deal conversion rate - the overall efficiency of the lead funnel
