  3. The generation action - a manager opens a deal, clicks Document, selects the template (e.g. "Quote", "Invoice", "Supply Contract") and Bitrix24 fills every code with the field values currently in that deal. The output is a PDF (or Word file) attached to the deal timeline.

  • Invoices - populated with buyer and seller requisites, line items, totals, currency and bank details. Where an ERP (such as an accounting system) is integrated, the invoice can alternatively be pushed from the ERP into Bitrix24 as a file attachment, avoiding duplication.
  • Supply / service contracts - client data, product list, prices, payment terms and signatory fields all merge from the deal card. Contract generation that previously required manual drafting becomes a one-click action.
  • Acts of completion / delivery notes - Bitrix24 can distinguish between products and services in the catalogue, so acts automatically receive only the fields they should contain.
  • Technical and commercial proposals (TCP) - used in B2B and tender workflows; typically configured as two template variants (e.g. basic and premium scope).
  • Agent reports / annexes - any repeating structured document your team produces can be templated.

Setting Up Your First Template: Step by Step

Setting up a Bitrix24 document template takes under an hour for a standard quote or contract: prepare the .docx with symbolic codes, upload it to CRM, test with a real deal, and publish to your team.

Here is the practical sequence:

  1. Identify the fields you need. Open a deal card → Document → Add New Template → Settings (⚙️) → Field List. Filter by source (Deal, Company, Contact) to find the exact symbolic codes for each piece of data.
  2. Build the template in Word. Insert symbolic codes into your existing document layout - company name, client name, date, line-item table, totals, currency, signatory block. Save as .docx, keep the file under 2 MB.
  3. Upload to Bitrix24. In the deal card, go to Document → Add New Template, give it a name (e.g. "Quote - Standard") and upload your file.
  4. Test with a live deal. Open a deal that has all relevant fields filled in, generate the document, and verify every placeholder resolved correctly.
  5. Set permissions. Decide which roles can view vs. edit generated documents.
  6. Record a short screen video (or write a one-page instruction) so reps know which fields must be filled before generating a document. This prevents blank fields in client-facing output.

For custom fields you created yourself (e.g. "Project type", "Discount approved by"), find the {UfCrm...} code in the field list, copy it and paste it into the relevant position in the template.

CRM data, the product catalogue and an optional ERP integration combine to drive automated document generation across the deal lifecycle - from quote to signed contract.

The flow starts at deal creation, where contact and product data enter the CRM. The quote template pulls from both the deal card and the product catalogue.
